A useful accounting draft starts with the firm’s methods, the engagement facts, and the source records. It does not start with a generic prompt and a guess.

Context is control

The model needs the firm’s rules before it can help with the work.

A general-purpose AI model does not know a firm’s chart-of-accounts conventions, revenue policies, review standards, document locations, or the facts behind a client question. Without that context, it can fill gaps with plausible but unsupported assumptions. That is how a polished answer can still miss the evidence, disclosure, or accounting treatment that a reviewer needs.

These files can carry durable context: the firm’s workflow, approved terminology, source-document expectations, policy summaries, review thresholds, and links to the authoritative material the engagement team relies on. Task instructions then set the period, available evidence, required output, and escalation points for one assignment.

This is grounding, not an autopilot. Reference files can reduce unsupported assumptions and make uncertainty visible. They cannot guarantee that an AI output is complete or correct. A qualified professional still evaluates the facts, the governing requirements, the judgment, and the final conclusion.

Use the right materials

Build a reference set that makes the model stop when it should.

  • State the purpose, scope, and owner of each reference file.
  • Separate firm policy from authoritative accounting or tax requirements.
  • Name the source records that must be reviewed before a conclusion is drafted.
  • Require the model to distinguish facts, assumptions, missing information, and reviewer questions.
  • Write a clear stop rule for matters requiring accounting, tax, valuation, or legal review.
  • Keep sensitive client information out unless it is necessary and approved for the engagement.
  • Review the files when the firm’s process or the relevant guidance changes.

A good instruction asks Claude to summarize the supplied facts first, identify documents it did not receive, and prepare an issue list for the reviewer. It does not ask Claude to declare a transaction GAAP-compliant or to invent a missing contract term. Numbers Game provides the context layer and controlled ledger access. ASC 810: consolidation

Consolidation work depends on the entity structure, ownership, governance rights, related parties, financing, and changes in the reporting period. A firm reference file can give Claude an intake checklist and require it to flag missing operating agreements, organizational charts, or prior conclusions. The control and VIE analysis remains professional judgment. ASC 606: revenue recognition

Revenue work needs the actual contract, promised goods or services, pricing, modifications, acceptance provisions, and relevant policy choices. Use a reference file to require a contract summary, identify missing terms, and separate a client representation from source-record evidence. ASC 805: business combinations

Purchase accounting requires more than a deal label. The engagement team needs the acquisition agreement, acquisition date, consideration, acquired assets and liabilities, valuation inputs, contingent consideration, and the facts behind business-versus-asset questions. Give Claude a structured intake and require it to list missing schedules rather than completing the record itself. Nonprofit accounting: Topic 958

Nonprofit work needs mission-specific context: restrictions, donor communications, grants, endowment terms, functional expenses, liquidity information, and governing documents. A firm-owned file can specify the records needed and make the draft distinguish restrictions, conditions, management explanations, and unresolved questions. IRS recordkeeping

Tax and bookkeeping work needs evidence, not merely a narrative summary. Use instructions to identify the available books, receipts, invoices, statements, reconciliations, and schedules. Require unsupported amounts and missing documentation to be listed for review. IRS Publication 583 provides federal recordkeeping information for businesses.

A better AI draft

Grounded output names what it knows and what still needs review.

When the context is available, Claude can organize supplied facts, compare documents to a firm checklist, prepare a workpaper outline, and write focused questions for the engagement team. The reviewer can trace the draft back to the records and instructions used to create it.

When the context is missing, the right result is not a confident answer. It is a clear question: which contract version applies, which entity holds control, which donor restriction governs the funds, which receipt supports the amount, or which policy the firm has adopted. That is the behavior firm instructions should demand.
