Bring Stripe activity into a reviewed accounting workflow.
Connect a client’s own Stripe account to the QuickBooks Online or Xero company it belongs to. Review payments, fees, refunds, payouts, subscriptions, and revenue activity before a proposed entry reaches the ledger.
Stripe is the payment source. The ledger stays the record.
The connector gives an accounting firm one controlled place to read Stripe activity, make the accounting treatment visible, and book only the reviewed result. QuickBooks Online or Xero remains the system of record.
Prepare, review, then book.
1. Connect the client’s Stripe account
An owner or admin connects the client’s own Stripe account to one company they are authorised to see. The Stripe connection is separate from Numbers Game’s billing account.
2. Set up the accounting map
Assess the existing setup, map the accounts needed for the workflow, and review the opening-balance proposal where one is required.
3. Read and tie out the activity
Review payouts, transactions, invoices, products, subscriptions, A/R aging, out-of-band payments, and tie-out information from the connected Stripe account.
4. Review the proposal before the ledger write
Period summaries, payouts, revenue-recognition journals, and deferral journals are proposed first. The proposal is reviewed before it is booked.
A stale proposal does not become a quiet write.
- Every booking starts with a proposal that can be read before it reaches the ledger.
- If Stripe changes after the proposal, the booking is refused as stale rather than applying a different result.
- Payouts use the same ledger handlers and collision checks as the rest of the platform, so a payout already represented by a bank-feed line is not booked twice.
- Foreign-currency invoice activity is held with the home-currency cash that settled it rather than flattened into a misleading entry.
- Actions that write into Stripe itself require a preview and a confirm token. The preview is not the action.
The recurring Stripe work, without re-keying it.
Period summaries and payouts
Prepare reviewed journals for a Stripe period, book a payout as the appropriate ledger transaction, and reverse a booked period where the accounting needs correction.
Revenue recognition and deferrals
Prepare revenue-recognition and deferral journals from Stripe activity, with revenue mappings that assign the correct income account and class by product or price.
Payment and subscription operations
For supported billing work, prepare customers, invoices, subscriptions, cancellations, and outside-payment matching with an explicit confirmation step.
QuickBooks Online and Xero
The connector supports the ledger-specific booking shape. On Xero, for example, a payout is recorded as Receive Money on the bank account coded to Stripe Clearing.
Read live. Keep the record of what was booked.
Stripe transaction history is read live. Numbers Game stores the encrypted connection, revenue mappings, and the record of each booked period, payout, and journal so the accounting outcome can be explained later. It does not turn Stripe into a replacement ledger or keep a separate historical copy of the client’s transaction feed.
Access is firm- and company-scoped. A Stripe account connected by one firm to a shared ledger company is not available to another firm merely because they both can reach that ledger company.
