Bank and card transaction workflow

Bring bank and card transactions into Claude, then into the books.

Numbers Game connects bank accounts and credit cards in the app, makes the transaction data available in Claude, and prepares reviewed accounting data for QuickBooks Online or Xero. The firm keeps the judgment and the accounting system stays the record of truth.

The direct answer

What happens when a firm connects a bank or credit card?

An Owner or Admin connects the account in Numbers Game. The firm can then use the resulting bank and credit card transactions in Claude alongside the QuickBooks Online or Xero data it already works with. Instead of exporting a CSV, opening a separate bank portal, or asking an accountant to copy merchant descriptions into a prompt, the transaction context is available in the same workflow.

Claude can help a firm review transactions, identify the merchant context, propose categories, and prepare the information that belongs in the accounting platform. The proposal is not the final book entry. Your team reviews the proposed treatment, then sends the approved accounting data to QuickBooks Online or Xero. Those platforms remain the system of record.

How it works

Five steps from raw bank activity to reviewed books.

  1. 1. Connect the accountAn Owner or Admin connects a bank account or credit card in the Numbers Game app. Access is part of the firm’s controlled connection setup, not a shared bank login.
  2. 2. Ask Claude about the activityUse Claude to examine the transactions with the relevant firm and client context. Ask what needs categorizing, what looks unusual, which card charges need support, or what should be ready for the close.
  3. 3. Prepare the accounting treatmentClaude helps turn transaction detail into a proposed category, payee context, supporting explanation, or exception for an accountant to review.
  4. 4. Review the proposalA person checks the treatment before it becomes accounting data. This is where judgment stays with the firm, especially for new vendors, mixed-use spend, card payments, and unusual items.
  5. 5. Send approved data to the booksThe approved accounting data is sent to QuickBooks Online or Xero. The ledger in that platform remains the source of truth for financial reporting and reconciliation.
Why it is useful

The transaction is where the work starts.

Less context switching

A bookkeeper can investigate card and bank activity in the same Claude conversation used for the close, reporting, and client follow-up. There is less hopping between portals, exports, and separate queues.

Better first-pass context

A transaction can be considered with the client’s chart of accounts, previous treatment, current period, and the question the accountant is trying to answer. That is more useful than a merchant string in isolation.

One review path

The firm can review proposed accounting data before it reaches QuickBooks Online or Xero, rather than discovering a questionable bank-feed categorization after it has affected a report.

Faster close preparation

Teams can identify uncategorized card spend, recurring vendors, missing support, and exceptions while preparing the close, not after the reconciliation deadline arrives.

Examples

Questions an accountant can ask without assembling a CSV.

Monthly card review

“Review this month’s corporate-card transactions. Group recurring software spend, flag new vendors, and prepare proposed categories for my review.”

Client exception review

“Show me transactions from this bank account that do not match the client’s usual vendor pattern. Explain what information I need before categorizing each one.”

Close preparation

“Prepare the uncategorized bank and card activity for this client’s month-end close. Separate items that are ready to review from items that need a receipt, invoice, or client question.”

Cross-book question

“Compare the card spend for these connected entities, identify duplicate vendors, and prepare a review list. Do not send any changes until I approve them.”

Controls and boundaries

Useful access needs clear limits.

  • Role-based access: Owners and Admins manage connections. Bank connections and bank-feed transactions are available to Owners, Admins, and Members, not Viewers.
  • Review before bookkeeping: Claude can prepare and explain a proposed treatment. The firm reviews it before approved data is sent to QuickBooks Online or Xero.
  • No payment authority: this workflow handles transaction data and accounting preparation. It does not initiate payments, ACH, or transfers.
  • Books remain the record: QuickBooks Online and Xero remain the system of record after approved data is sent.

Frequently asked questions

Bank, card, Claude, and the books, answered clearly.

Can Numbers Game connect directly to a bank account or credit card?

Yes. An Owner or Admin can connect bank and credit card accounts in the Numbers Game app. The resulting transactions can be used in Claude as part of the firm’s connected financial data.

Can Claude categorize bank and credit card transactions?

Yes. Claude can review the connected transactions, apply the firm’s accounting context, and prepare categorization work. A person reviews the proposed accounting treatment before it is sent to QuickBooks Online or Xero.

Does Claude post directly to QuickBooks Online or Xero without review?

No. Numbers Game prepares the proposed accounting data for review. The connected accounting platform remains the system of record, and a person decides what is sent there.

Why not use only the QuickBooks or Xero bank feed?

A direct bank or card connection lets the firm work with transaction data in the same Claude workflow used for reporting, reconciliations, and client questions. It also gives the firm one review path before the data is sent to QuickBooks Online or Xero.

Can a Viewer see bank connections or bank-feed transactions?

No. Bank connections and bank-feed transactions are restricted to Owners, Admins, and Members. Viewers cannot see that operational bank data.
