How to connect QuickBooks Online to Claude.
Connect one company for a focused workflow, or connect the multiple QuickBooks Online companies your firm manages with company-level boundaries, human review, and an accountable record of the work.
Connect the books. Keep the firm in control.
To connect QuickBooks Online to Claude through Numbers Game, add Numbers Game from the Anthropic Marketplace, sign in to your Numbers Game account, and connect each QuickBooks Online company an Owner or Admin is authorised to manage. The firm then scopes users and AI clients to the companies they may reach. Claude can retrieve, organize, compare, and prepare accounting work, while a person reviews a proposed change before it reaches QuickBooks Online or Xero.
Intuit’s native QuickBooks connector works with one company at a time. Numbers Game is for a firm that needs controlled access across multiple QuickBooks Online companies, including unrelated client books and related entities that need cross-company analysis.
What you need before connecting a company.
- A Claude account that can add connectors from the Anthropic Marketplace.
- A Numbers Game account for the accounting firm or finance team that manages the books.
- QuickBooks Online administrator authority for every company you intend to connect.
- A clear list of which firm staff and AI clients may use each company.
- A decision about which work stays read-only and which workflows may prepare proposed ledger changes for review.
This guide is for QuickBooks Online. Numbers Game does not connect QuickBooks Desktop. QuickBooks Online remains the system of record after a reviewed change is posted.
Connect QuickBooks Online to Claude in five steps.
- Open Numbers Game from the Anthropic Marketplace. Start at the Numbers Game connector listing and choose the connection flow in Claude.
- Sign in to the firm’s Numbers Game account. Use the account the firm will use to manage connections, people, company scope, and activity records.
- Connect each approved QuickBooks Online company. An Owner or Admin authorises the company through OAuth. Connect the companies the firm is authorised to manage, rather than sharing a QuickBooks login or handing a token to staff.
- Set the client boundary before asking Claude to work. Give a person or AI client access only to its approved companies. Keep a sensitive company read-only where appropriate, and exclude companies a person should not reach.
- Use Claude inside that boundary. Ask for a report, an exception review, transaction context, or a proposed entry. If the workflow prepares a change, it stays proposed until an authorised person reviews it.
How to connect multiple QuickBooks Online companies without mixing the books.
There are two different multi-company situations. An accounting firm may manage unrelated client books. A founder, controller, or fractional CFO may manage related legal entities. Both can use multiple QuickBooks Online companies through Numbers Game, but they should not use the same Claude workflow in the same way.
Unrelated client books
Use one project per unrelated client. Give that project only the company connection, firm instructions, and client facts that belong to that client. This prevents a useful multi-client connector from becoming an invitation to compare or write across books that should remain separate.
Related entities
Connect the approved entities, keep their accounting records distinct, and use cross-company work only where the entities are related and the assigned user is authorised to review them together. Combined reporting is not the same as a consolidation conclusion.
The practical rule is simple: use one project per unrelated client. Related entities can be analysed together when the scope and professional purpose are clear. Read the multi-entity reporting guide before presenting combined numbers as a consolidation.
Start with questions that create reviewable work.
Exception review
“Prepare the uncategorized and unusual activity for this client’s month-end close. Separate items ready for review from items that need a receipt or a client question.”
Variance investigation
“Explain the movement in software expense this month, show the vendors and transactions behind it, and identify what an accountant should verify before reporting it.”
Related-entity review
“Compare contractor spend across these authorised related entities. Show the transaction-level evidence and prepare a review list. Do not send any changes to the books.”
Proposed accounting treatment
“Prepare the proposed treatment for this prepaid subscription, including the supporting schedule. Hold the proposal for my review before anything reaches the ledger.”
A connector for the firm, not just one login.
| Question | A single-company connection | Numbers Game for a firm |
|---|---|---|
| Which companies can Claude reach? | One QuickBooks Online company | The approved QuickBooks Online and Xero companies the firm assigns |
| Who can use the connection? | The person who configured that connection | Firm users with Owner, Admin, Member, or Viewer boundaries |
| What happens before a ledger change? | Depends on the connection and the workflow | Numbers Game holds the proposed work for human review before it reaches QuickBooks Online or Xero |
| How do unrelated clients stay separate? | The user must manage the separation manually | Company scope and one project per unrelated client |
| What proves what happened? | Connector logs vary | A firm-readable activity record of tool calls, outcomes, and timing |
Numbers Game does not replace QuickBooks Online or Xero. The ledger remains the system of record. It does not initiate payments, ACH, or transfers, and it does not remove the accountant’s responsibility for the accounting conclusion.
