Guide · Multi-entity accounting

Use AI across related entities. Do not mix unrelated clients.

A holding company, operating company, and related subsidiaries often need a controlled cross-entity review. Keep that work inside an approved entity group, preserve the ledger as the system of record, and require human review before a proposed accounting change.

The direct answer

Multi-entity analysis is useful when the entity scope is intentional.

Related entities often share vendors, management questions, cash constraints, intercompany activity, and reporting needs. Claude can help an accountant retrieve the approved detail, compare the numbers, and prepare a review package across those entities.

That does not mean a firm should put every client into one workspace. Do not mix unrelated clients. A cross-entity prompt belongs only inside a defined related-entity group where the firm is authorised to see the data and the accounting question genuinely crosses company boundaries.

A controlled workflow

Start with the entity map, not the prompt.

  • 1. Define the related entities. Name the holding company, subsidiaries, operating entities, and any company that is out of scope for the review.
  • 2. Confirm authority. Verify that the firm and the person running the work are authorised to access each company’s QuickBooks Online or Xero data.
  • 3. State the question. Ask for a specific comparison, such as shared-vendor spend, intercompany balances, revenue by entity, or a consolidated close review.
  • 4. Review evidence before treatment. Use transaction-level detail, reports, and supporting schedules to decide whether the item is an exception, reclassification, elimination, or a client question.
  • 5. Approve entity-specific changes separately. A finding may span several companies, but a proposed entry or categorisation still needs human review in the ledger it affects.
Useful questions

Ask across entities without losing the evidence.

Shared vendor review

Compare software, contractor, travel, or other vendor spend across related entities. Show the transaction-level evidence behind unusual differences.

Intercompany preparation

Identify balances and transactions that may need an intercompany schedule, elimination workpaper, or accountant follow-up.

Cash and AR oversight

Review cash movement, overdue receivables, and collection risk across an approved group before preparing management commentary.

Entity close status

Prepare the exceptions, missing support, and open reconciliation work for each related entity before the consolidation review begins.

Management reporting

Draft a checked narrative that distinguishes group-wide movement from a result that belongs to one operating entity.

Budget and variance review

Compare entity performance against the relevant budget and explain what changed, without blending account structures or accounting decisions.

Controls that matter

Cross-entity access is not an excuse for cross-client access.

Numbers Game scopes approved users and AI clients to the companies a firm names. That makes related-entity work possible without treating the entire firm portfolio as a common dataset. The firm can keep one entity read-only, exclude a sensitive entity, or remove a former client entirely.

QuickBooks Online and Xero remain the system of record. Claude can help retrieve, organise, compare, and prepare. The accountant decides what the evidence means and whether a proposed accounting treatment should be approved.

Common failure modes

Avoid the shortcuts that make a multi-entity review less reliable.

Assuming similar vendors mean the same treatment

A shared supplier can have different contracts, entities, tax treatment, departments, or periods. Inspect the evidence before standardising a treatment.

Posting group logic everywhere

A consolidated insight is not an instruction to post the same entry in every entity. Review the proposed change in the ledger it affects.

Using one project for unrelated clients

Separate unrelated client work. The operational convenience is not worth weakening confidentiality or making the result hard to explain.

Treating AI output as a workpaper

Use the output to prepare a review. Retain the relevant reports, schedules, evidence, and accountant conclusion in the firm’s normal workpaper process.

Questions and answers

AI for related entities, answered directly.

Can Numbers Game compare related QuickBooks Online and Xero entities?
Yes. A firm can scope an approved AI client to the related companies it is authorised to manage, then use it to retrieve and compare the relevant accounting detail.
Should a holding company and all client companies share one Claude project?
No. Keep a related-entity group together only where the work requires it. Do not mix unrelated clients into the same project or approved company scope.
Can AI create intercompany entries automatically?
No. It can prepare a proposed treatment and supporting schedule, but a person reviews the accounting judgment and approves any change before it reaches the ledger.
Where is the final accounting record kept?
QuickBooks Online or Xero remains the system of record. Numbers Game supports the controlled retrieval, analysis, and review workflow around it.
